Use Gmail AI to Reply to Family Emails Faster
What This Does
Gmail has a built-in AI writing feature ("Help me write") that can draft your reply to family emails in seconds, including common questions about programming, special events, or how their loved one is doing.
Before You Start
- Your facility uses Gmail (Google Workspace) for email
- You're logged into your Gmail account in Chrome or Firefox
- You have a family inquiry email open and ready to reply to
- Time needed: 3–5 minutes per email
- Cost: Free (included with Google Workspace / Gmail account)
Steps
1. Open the email you want to reply to
Open Gmail and find the family email you need to respond to. Click on it to read the full message.
What you should see: The email message displayed with a "Reply" button at the bottom.
2. Click Reply and find the AI button
Click "Reply" to open the reply box. Look for:
- A small pencil/pen icon with a star at the bottom of the reply box (the "Help me write" button)
- Or a "+" icon in the formatting toolbar
What you should see: A small icon at the bottom of the compose window. In some Gmail versions, it says "Help me write."
3. Describe what you want to say
Click the Help me write button. A prompt box will appear. Type what you want the email to say, in plain language rather than the final email:
"Write a warm reply to a family member asking how their mother is participating in activities. Tell them she's been attending morning exercise and bingo regularly, seems to enjoy the music programs, and we're happy to have her. Invite them to visit during Friday afternoon activities."
What you should see: Gmail generates a complete, professional reply draft.
4. Refine if needed
After the draft appears, look for the Refine options:
- Formalize: if the tone needs to be more professional
- Elaborate: if you want more detail
- Shorten: if it's too long
- I'm feeling lucky: for a different approach
5. Insert and personalize
Click "Insert" to add the AI draft to your reply. Then:
- Add the resident's and family member's name
- Fix any specific details that need to be accurate
- Add your name in the signature
- Send
Real Example
Scenario: A daughter emails asking "How is my mom doing with the activities? She seemed withdrawn when we visited last week."
What you type: "Write a warm, reassuring email to a daughter who is concerned that her mother seems withdrawn. Explain that her mother has been attending group activities 4x this week, seems to engage more in the mornings, and we've been doing more one-on-one check-ins. Invite her to call or visit to talk more."
What you get: A warm, professional response that addresses the concern, shares specific observations, and invites continued connection. Takes about 30 seconds instead of 10 minutes.
Tips
- For families who email the same questions repeatedly, draft your standard responses once using AI, then save them as Gmail templates (Settings > See all settings > Templates) to reuse with one click
- Always add the resident's name and specific personal details; the AI draft will be generic and your edit makes it meaningful
- If your facility uses Outlook instead of Gmail, Microsoft Outlook has a similar "Copilot" feature in the compose window
Tool interfaces change. If a button has moved, look for similar AI/magic/smart options in the same menu area.
