What This Does

Canva is a free design tool with hundreds of templates for flyers, posters, and certificates. Its Magic Write feature generates the text for you, so you get professional-looking activity announcements and resident recognition certificates without any design skills.

Before You Start

  • Create a free Canva account at canva.com (takes 2 minutes)
  • Know what you're creating: event flyer, bulletin board poster, or participation certificate
  • Have basic event details ready: name, date, time, location
  • Time needed: 15 minutes
  • Cost: Free (Canva free tier is sufficient for all activities uses)

Steps

1. Create a free Canva account

Go to canva.com and sign up with your email or Google account. Click "Get Canva Free."

What you should see: The Canva homepage with a search bar and template categories.

2. Search for a template

In the search bar, type what you need:

  • "Event flyer" (for activity announcements)
  • "Certificate of participation" (for resident recognition)
  • "Bulletin board poster" (for monthly calendars or program notices)
  • "Newsletter" (for family communications)

What you should see: A grid of colorful, professional-looking templates. Click any one to preview it.

3. Select and open a template

Choose a template that looks appropriate for your facility's style. Warm colors and large fonts work well for assisted living audiences. Click "Use this template" to open it in the editor.

What you should see: The template opens in the Canva editor. All elements are editable; click on any text or image to change it.

4. Use Magic Write for your event description

Click on the text area where you want the event description. Look for the purple "Magic Write" button in the text toolbar (or access it via the Apps menu in the left sidebar).

Click Magic Write and type your prompt: "Write a friendly, 2-sentence description of a St. Patrick's Day party at an assisted living community. Date: March 17, 2:00 PM. All residents and families welcome."

What you should see: Magic Write generates event copy that fits the text box.

5. Customize colors, fonts, and images

  • Click on any color block and use the color picker to match your facility's colors
  • Use the "Photos" menu (left sidebar) to find free images; search "seniors," "celebration," "garden"
  • Resize text by selecting it and changing the font size
  • Large fonts (24pt+) are important for residents who may have low vision

6. Download and print or email

When finished, click "Share" (top right) > "Download." Choose:

  • PDF Print for physical bulletin board flyers
  • PNG for emailing to families

Real Example

Scenario: You need a flyer for a visiting musician performing next Friday at 3 PM.

What you type/do: Open a "Concert" or "Music Event" template. Click Magic Write and type: "Write a warm invitation to a live piano performance at [Facility Name]. Performer: [name]. Date: Friday, March 21. Time: 3:00 PM. Community room. All residents and family members welcome."

What you get: A professionally designed flyer with your generated text, ready to print and post on bulletin boards throughout the facility.

Tips

  • Save your finished templates so you can reuse them every month; just update the text and date
  • For participant certificates, personalize each one by just changing the resident's name
  • The "Canva for Education" program may give you access to Pro features at no cost depending on your organization
  • Print certificates on cardstock; residents often display them in their rooms
