Use StoriiCare's Attendance Assistant to Track Activities Faster
What This Does
StoriiCare is activity management software built specifically for activity directors. Its Attendance Assistant lets you take attendance by speaking resident names aloud. No paper sign-in sheets, no double data entry. Participation logs flow automatically into compliance reports.
Before You Start
- Your facility has a StoriiCare subscription (contact storiicare.com for pricing)
- You have access to a tablet or laptop during activities
- Your resident roster is set up in StoriiCare
- Time needed: 5 minutes to take attendance per session once set up
- Cost: Contact StoriiCare for facility pricing (subscription-based)
Steps
1. Create an activity in the StoriiCare calendar
Log in to StoriiCare on your tablet or laptop. Go to the Calendar section. Click "Add Activity" and fill in:
- Activity name (e.g., "Morning Trivia")
- Date and time
- Location
- Category (cognitive, physical, social, etc.)
What you should see: The activity appears on your calendar in StoriiCare.
2. Start the activity and open Attendance
When the activity begins, find it on your StoriiCare calendar and click "Start" or "Take Attendance." The attendance interface will open.
What you should see: A list of all your residents, ready to be checked off.
3. Use voice attendance (if your device has a microphone)
Look for the microphone/voice icon in the attendance interface. Tap it, then speak resident names as they arrive: "Margaret, Dorothy, Robert, Helen."
StoriiCare's Attendance Assistant will identify residents by name and mark them as present automatically.
What you should see: Resident names highlight or get checked off as you speak them.
Troubleshooting: If voice doesn't work, tap each resident's photo or name manually. It's still much faster than paper sign-in sheets.
4. Note engagement levels
For each resident, StoriiCare lets you quickly note engagement level (e.g., Active, Passive, Refused). Tap the icon next to each resident's name. This data feeds directly into compliance documentation.
5. Close the activity
When the activity ends, tap "End Activity." StoriiCare saves the attendance record and engagement data automatically.
What you should see: The activity shows as completed with a participant count and attendance record.
6. Generate compliance reports
At end of month, go to Reports in StoriiCare. Generate a "Monthly Activity Participation Summary." This automatically tallies:
- Total activities offered
- Total resident participation events
- Individual resident participation rates
- Compliance metrics for your state requirements
Real Example
Scenario: You're running morning bingo with 18 residents. Previously you had a paper sign-in sheet that you'd re-enter into the computer after the session.
What you do: Open StoriiCare on your tablet. Start "Morning Bingo." Tap the mic. Say each resident's name as they sit down. Mark engagement levels with one tap each. End session. StoriiCare records everything automatically.
What you get: A permanent, date-stamped participation record with engagement levels, ready for OBRA compliance documentation and state surveys, with zero double-entry.
Tips
- Keep your tablet or laptop charged and in the activity room. It needs to be accessible during sessions, not just at your desk.
- Set up your resident photos in StoriiCare. Visual identification helps, especially when voice recognition needs confirmation.
- Run the monthly compliance report on the last business day of each month, not the day before a survey
- StoriiCare's calendar also serves as your resident-facing activity calendar. Display it on a facility TV or print from the platform.
